This is not about how reception looks. It is about people waiting in the lobby, a security responsibility with no record behind it, and personal data sitting open on a page every subsequent visitor can read.

Four steps from invitation to departure

Invitation

The employee invites their guest from the panel or the app: name, organization, time and floor. The guest receives an email with a QR code and the building location.

Arrival

The guest scans their code at reception and is in within seconds. Anyone arriving unannounced is registered on the spot, with the host chosen from the directory.

Notification

The host gets a push notification and an email the moment the guest checks in — no waiting in the lobby.

Departure

Check-out closes the visit. The record keeps who came in, when, to see whom, and through which entrance.

Today's visitors are right there: who has arrived, who is waiting, who has not turned up yet. Search by name or mobile number, check someone in with one tap, and print a badge if you want a physical one.

Who is in the building now

A live list of everyone who checked in and has not checked out — employees and visitors — broken down by floor.

Evacuation and roll call

The safety officer opens the list on their phone at the assembly point and ticks off who is accounted for — instead of a paper log in a drawer.

Visit reports

Who visited, who hosted, which floor, and for how long — filtered by date, site and host, exported to PDF and CSV.

Privacy

Visitor data never leaves your organization

A visitor's name, organization, appointment and who they met are personal data under Saudi Arabia's Personal Data Protection Law. When they live on a server inside your own estate, setting the purpose, the retention period and the access rights becomes an internal management decision rather than a clause in a cloud provider's agreement.

What buyers ask first

How are visitors registered?
Two ways. Either the employee sends an invitation in advance and the visitor arrives with a QR code on their email or phone, scans it at reception and is in within seconds. Or someone arrives unannounced and reception registers them on the spot, choosing the host from the employee directory.
Does the host know their visitor has arrived?
Yes, immediately. On check-in the host gets a push notification on the mobile app and a message to their work email, so the visitor is not left standing at reception while someone tries to phone the host.
Where is visitor data stored?
On your own server, and it is never sent to any third party. Visitor data is among the most sensitive an organization holds — names, appointments and affiliations — and Saudi Arabia's Personal Data Protection Law requires it to be kept within the purpose and for a defined period, which is far easier to enforce when the database is yours.
Can it be connected to access control gates?
Yes, through the API or a custom integration with your gate system, so the visitor is granted only what they are cleared for and only for the duration of their visit.
How does it help during an evacuation?
The roll call: the system knows who checked in and has not checked out — employees and visitors alike — broken down by floor. The safety officer opens that list on their phone at the assembly point instead of hunting for a paper log in a reception drawer.
Can we buy the visitor module on its own?
Yes. Modules are licensed independently, so an organization starts with what it needs and adds the rest later with no reinstall and no data migration. The visitor module is available from the Plus plan upwards.
Does it work with the room booking module?
Yes, and it is the clearest integration in the system: when an external guest is invited to a booked meeting, their visit is created automatically with the meeting's time and room, so one code both opens the door and points them to the room.
